· Administration: We assist with annual member’s meetings, board meetings, and other special meetings, as requested. We handle notifications, mailings and documents for meetings, unless otherwise directed. Working alongside your board of directors, Waves helps manage general administration by implementing tasks to achieve the goals of your community; resolving issues through fact-finding and presenting workable solutions.
· Maintenance: Waves excellently maintains your property with routine inspections, work orders for repairs; vetting licensed and insured vendors; obtaining bids for board consideration; and making sure the work is completed as contracted. With our 90+ years of combined experience, we have worked with many community associations, and we’ve seen and experienced a broad variety of situations. We will advise, as requested.
· Technology: Waves provides a customizable, user-friendly portal for all owners and board members to access and stay updated across a spectrum of association business.
With our in-house bookkeeping, Waves has your up-to-date owners’ roster and financials accessible to you in the portal, 24/7. Accessibility to your financials and your bookkeeper is critical for an association board of directors as they govern a community. You are entitled, at all times, to know where your financials stand. We are committed to providing you that peace of mind that comes with transparency and accessibility.
· Waves bookkeepers competently handle accounts by:
· Providing clear and accurate monthly association financial reports to the board of directors as well as personal owner’s monthly financial statement to each owner.
· Managing accounts payable and accounts receivable.
· Making Payments (including taxes)
· Processing collections
· Recording and depositing all receipts
· Assisting in the preparation of annual budgets.
· Maintaining all financial records in an organized, private and safe manner, and storing them for the required length of time.
· Preparing resolution letters when there is an assessment settlement.
· Preparing dues requests for property sales, at closing, with title companies.
· If needed, we can also collaborate with your auditor and ensure tax payments are handled smoothly.
· Should you contract for inhouse bookkeeping, unlike some outsourced bookkeeping firms, we do not charge an additional fee to prepare financial reports for annual meetings or board meetings.
